How can an event go without a guest list? We know that and that is why we put so much effort into creating a system that is intuitive to make your life easier. There are a few methods to populating your guest lists. We will go through each of them in this article.
- Upload a spreadsheet of your guest list
- Manually add guests to each table
- Use your personalised RSVP page
Upload a spreadsheet of your guest list
Please use our spreadsheet format to upload your guest list. The format looks something like this.
A detailed explanation on what the columns are for and what is required is there. For columns G onward, the headers can be changed to any names reflect what information you need to collect.
Table — The number or label of the table the guests is seated at or allocated to. If the table is created, the guest will be assigned to the table. If the tables are not found, it will be automatically created.
Name — The name of the guest. You can input both English and Chinese characters. For Chinese characters, you can search using the Han Yu Pin Yin. For example, 李心华 (li xin hua) can be searched with the following search terms when registerting: “li xin hua”, “lxh”, “xin hua”.
No. of guests expected — If you allow your guests to bring additional guests, you can indicate here. When registering, you will need to indicate how many guests have arrived. Read more about it in our event day guide.
Contact number — Optional field. Will allow your registration booth to contact the guests if they did not show up.
Email — Optional field.
ScannableID — This is unnecessary if you are not using QR code to register your guests. If you would like to use this service, please drop us an email at firstname.lastname@example.org We will be happy to demonstrate this feature to you.
Other fields — You can add as many custom fields you like after this. This can be their dietary preferences or even whether they require a parking coupon.
If you are using Google Sheets, you can click on File > Download as > Microsoft Excel to download the spreadsheet and upload it.
Once you are done, you are ready to upload it on to our system! Just click on browse and select the spreadsheet. Note: The upload will not overwrite the current guest list. It will just treat this list as additional guests. Uploading multiple guest lists will result in many copies of the same person.
